The templates
Four Texts, from the Day After to 90 Days.
Fill in the brackets, read each one as the patient would, and send it from your practice's number. Every text ends with the same opt-out line.
Texting patients needs their consent. Send these only to patients who have agreed to get texts from your practice, and stop as soon as someone replies STOP.
Day 1
Send the Plan.
When: The day after the plan is presented, while the visit is fresh.

Day 7
Offer Two Times.
When: A week later, with two real openings from your schedule.

Ask What's in the Way.
When: A month later, if the plan still is not scheduled.

Leave the Door Open.
When: Three months later: one last note, then stop.

How to use them
Before You Send a Follow-Up Text.
Three things to settle once, so every text goes to the right patient and sounds like your practice.
Consent
Text Only Patients Who Said Yes.
Send these only to patients who have agreed to receive texts from your practice, and keep a note of when they agreed. When someone replies STOP, stop texting them. This isn't legal advice: your compliance adviser can tell you what your practice's texts need.
Fill in
Make Each One Sound Like You.
Use the patient's first name, your practice's name and the dentist who presented the plan. Offer real openings from your schedule, and link to the plan rather than putting clinical details in the text.
Stop
Stop When They Answer.
If the patient books, says no or asks you to stop, take them off the list. The next text goes only to patients who haven't answered.
Rather go over it in person? Put open treatment on the morning huddle sheet and bring it up when the patient is next in.

These templates follow up the day after the visit, then at one week, 30 days and 90 days. Change the timing to fit your practice, and stop as soon as the patient books or asks you to stop.

Why does every text end with "Reply STOP to opt out"?
So the patient always knows how to stop the texts, in the same words every time. When someone replies STOP, take them off the list.
Should the text name the treatment?
The templates use [treatment] so the patient knows what the text is about. If you'd rather keep it general, write "your treatment plan" instead and let the link to the plan carry the details.
What if the patient replies with a question?
Answer it the same day, from the same number, or call them back. While you have them, offer a time.
