How to Run a Morning Huddle with the Sheet.
The sheet does the looking up before the huddle, so the huddle itself is about today.
Fill It in from Your Practice Software.
Once yesterday's numbers are posted, the evening before or first thing in the morning: production, collections and broken appointments, today's schedule and open times, the ASAP list, unscheduled treatment and balances. Leave the patient notes for the clinical team.
Who: the office manager, or whoever runs the reports.
Go Top to Bottom, One Owner per Section.
Read yesterday's numbers out and move on. Spend the time on today: the open times and who could fill them, the patients with treatment waiting, the insurance still to verify and the balances to ask about.
Who: the whole team, standing, before the first patient.
Work the List Through the Day.
Call the ASAP patients into the open times, verify the insurance that is still open, and keep the sheet at the front desk. Anything left undone goes on tomorrow's sheet.

What is a morning huddle in a dental office?
A short meeting of everyone working that day, before the first patient, to go over yesterday's numbers and today's schedule: the gaps to fill, the patients with treatment waiting, the insurance to verify, the balances to collect and anything the team should know about a patient.
Who should come to the huddle?
Everyone working that day: dentists, hygienists, assistants and the front desk. Each section has an owner, so everyone hears the part that is theirs.
What is an ASAP list?
A list of patients who want an earlier appointment and can come in at short notice. When a time opens up, the front desk calls down the list. On the sheet it sits next to the open times, so the gaps and the people who could fill them are side by side.
Why go over unscheduled treatment at the huddle?
The patients on today's schedule are already coming in. If their open treatment, or a family member who is due, is on the sheet, the provider and the front desk both know to bring it up while they're here.
Should patient notes go on a printed sheet?
Write only what the team needs for the day, keep the sheet where patients can't read it, and dispose of it the way your practice handles other papers with patient information.
